Privacy Policy
Last updated: 26 October 2026
MotorScope is committed to protecting your privacy. This policy explains how we handle your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
In this policy, “MotorScope”, “we”, “us” and “our” mean MotorScope (ABN 93 243 145 227). By using our website, booking an inspection or otherwise providing us with your information, you consent to the handling of your personal information as described here.
1. The personal information we collect
We only collect personal information that is reasonably necessary to provide our services. This may include:
- Identity and contact details: your name, email address, phone number and the address or suburb where the vehicle is located.
- Vehicle details: make, model, year, registration, VIN, odometer, and notes about the vehicle or inspection.
- Seller/third-party details: contact details for the seller or person with the vehicle, so we can arrange access (we rely on you having their consent to share these).
- Booking and transaction information: the service and package selected, scheduling preferences, and a record of your bookings. Card payments are processed by our payment provider; we do not store full card numbers.
- Communications: records of your emails, messages and phone calls with us, which may be noted or, where we tell you, recorded for quality and training.
- Technical and usage data: IP address, device and browser type, pages visited and similar analytics collected via cookies and similar technologies (see section 8).
- Location data: the address you enter to check service availability is used to show it on a map and match it to a local inspector.
We generally do not collect sensitive information. If we ever need to, we will seek your consent unless an exception under the Privacy Act applies. You may deal with us anonymously or by pseudonym where it is lawful and practicable, though we usually cannot complete an inspection without your contact details.
2. How we collect your information
We collect personal information:
- directly from you, when you make a booking, fill in a form, or contact us;
- from sellers or other people connected with the inspection, when arranging access to the vehicle;
- automatically, through your use of our website (cookies and analytics); and
- from service providers that help us operate, such as our geocoding/mapping, payment, hosting and communications providers.
3. How we use your information
We use personal information to:
- arrange, perform and deliver vehicle inspections and reports;
- assign and coordinate with inspectors and contact the seller;
- process payments, issue receipts and manage your booking;
- communicate with you about your booking, including confirmations and your report;
- respond to enquiries, complaints and provide customer support;
- improve our website, services and inspector network;
- send you marketing about our services where you have consented or where permitted by law (you can opt out at any time, see section 6); and
- meet our legal, regulatory and insurance obligations.
4. When we disclose your information
We may disclose your personal information to:
- Our inspectors and contractors, so they can carry out the inspection and contact the seller;
- Service providers who support our business, including payment processing, website hosting and databases, mapping and address lookup, email and SMS delivery, analytics, and (if you choose a vehicle-history add-on) authorised vehicle-data providers;
- Professional advisers, such as our lawyers, accountants and insurers;
- Government agencies, courts or regulators where required or authorised by law; and
- A buyer of our business or in connection with a sale or restructure, subject to appropriate confidentiality.
We do not sell your personal information. We may share aggregated or de-identified information that does not identify you.
5. Overseas disclosure
Some of our service providers (for example, cloud hosting, mapping, analytics or payment processing) may store or process information outside Australia, including in the United States and the European Union. Where we disclose information overseas, we take reasonable steps to ensure the recipient handles it consistently with the Australian Privacy Principles.
6. Direct marketing and your choices
We may send you marketing communications where the law allows. Every marketing email includes an unsubscribe link, and you can opt out at any time by contacting us using the details below. We comply with the Spam Act 2003 (Cth) and the Do Not Call Register Act 2006 (Cth).
7. Cookies and analytics
Our website uses cookies and similar technologies to keep the site working, remember your preferences (such as light/dark theme) and understand how the site is used. You can control cookies through your browser settings; disabling some cookies may affect how the site works.
8. How we keep your information secure
We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. This includes access controls, encryption in transit and reputable hosting providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
9. How long we keep your information
We keep personal information only for as long as we need it for the purposes described in this policy, or as required by law (for example, tax, insurance and dispute-resolution obligations). When it is no longer needed, we take reasonable steps to destroy or de-identify it.
10. Accessing and correcting your information
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading. Contact our Privacy Officer using the details below. We will respond within a reasonable period and may need to verify your identity first. If we decline a request, we will explain why and how you can complain.
11. Data breaches
We maintain procedures to respond to data breaches. If a breach is likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches scheme.
12. Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your information, please contact our Privacy Officer first so we can try to resolve it. If you are not satisfied with our response, you can contact the OAIC at oaic.gov.au or 1300 363 992.
13. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, with the “last updated” date shown above. Material changes will take effect when posted.
